About this privacy policy
Basil - The Home Companion ("Basil", "we", "us" or "our") helps homeowners keep useful information and documents relating to their home in one place and prepare information that may be useful when selling their property.
This privacy policy explains what personal information we collect, why we use it, how it may be shared, how long we keep it and the rights users have.

Information we collect
Depending on how you use Basil, we may collect and process:
- your name, email address and account information;
- your home address and property information;
- information about utilities, heating, improvements, boundaries, maintenance and other aspects of your home;
- photographs, certificates, reports, guarantees, planning documents and other files you choose to upload;
- information entered into property forms, including TA6 and TA10 drafts;
- property information obtained from third-party or public information services where Basil provides those features, including EPC and planning or property information;
- support messages and information supplied when contacting us; and
- technical information reasonably necessary to operate, secure and troubleshoot Basil.
Please avoid uploading personal information about other people unless you have a legitimate reason to do so.
How we use information
We may use information to:
- create and operate your Basil account;
- provide requested home-management functionality;
- store and organise information and documents relating to your home;
- retrieve property information requested through the app;
- populate or assist with property information forms;
- generate documents and Sale Packs at your request;
- provide customer support;
- maintain the security, reliability and integrity of Basil;
- investigate technical problems and prevent misuse; and
- comply with applicable legal obligations.
Where documents or information are analysed automatically to identify useful property information, this is intended to assist you in organising your information. You remain responsible for reviewing and confirming information before relying upon it.
Our lawful bases
Depending on the processing involved, we may rely upon:
Contract - where processing is necessary to provide the Basil service you request.
Legitimate interests - where reasonably necessary to operate, secure, improve and support Basil, provided those interests are not overridden by your rights and interests.
Legal obligation - where information needs to be processed or retained to comply with applicable law.
Consent - where consent is specifically requested for a particular use. Consent may be withdrawn where processing depends upon it.
Service providers and sharing
Basil does not sell users' personal information.
We may use trusted service providers to operate Basil, including providers of cloud hosting, authentication, file storage, property-data services, email and support functionality, payment processing and technical infrastructure.
These providers may process information where necessary to provide their services. Information may also be disclosed where required by law or reasonably necessary to establish, exercise or defend legal rights.
Basil does not automatically send your Sale Pack to an estate agent, solicitor, buyer or other third party. Where Basil allows you to generate, download or share a Sale Pack or other document, you decide whether and with whom to share it.
International transfers
Some technology providers may process information outside the United Kingdom. Where personal information is transferred internationally, appropriate lawful transfer mechanisms and safeguards will be used where required.
How long information is kept
Information associated with a Basil account will generally be retained while the account remains active.
When an account is deleted, personal information associated with it will be deleted or anonymised within a reasonable period, except where limited information must be retained for legal, regulatory, fraud-prevention, accounting or dispute-resolution purposes.
Backups and technical logs may persist for a limited period before being overwritten or deleted. Support records may be retained for a reasonable period to deal with queries and maintain appropriate business records.
Security
Basil uses technical and organisational measures designed to protect personal information, including authentication, access controls and restrictions designed to prevent one user from accessing another user's property information.
No online service can guarantee absolute security. You should protect your login credentials and contact us if you believe your account has been compromised.
Your rights
Depending on the circumstances, UK data-protection law may provide rights to request access to personal information, correction of inaccurate information, deletion, restriction of processing, data portability or objection to certain processing.
Where processing relies upon consent, consent may be withdrawn.

You also have the right to complain to the UK Information Commissioner's Office.
Children
Basil is intended for adult homeowners and other adults managing residential property. It is not intended for children.
Changes to this policy
This policy may be updated as Basil's functionality, service providers or legal obligations change. The effective date will be updated and users will be notified of significant changes where appropriate.
